Buyer process

Sampling and ordering process

The BOREDON process moves from an RFQ and technical review to quotation, sampling where needed, written approval, production planning, inspection and packing. Standard samples take 7–14 days after approval and the published sample fee is USD 30–80 per sample or style, refundable after a confirmed bulk order.

Buyer guidance

From requirement to repeat order

1. Send the procurement brief

Include products, quantities, sizes, materials, construction, branding, packaging and target date.

2. Technical and commercial review

BOREDON identifies missing details, feasibility points, MOQ implications and sample needs.

3. Sample and written approval

New or critical details are recorded in an approved sample or specification.

4. Production and inspection

Production follows released order documents and applicable control points.

5. Packing and repeat-order reference

Packing follows the confirmed plan; approved records support future replenishment.

What a sample actually decides

A sample is not a formality. It resolves the things a written specification cannot carry: hand-feel, color under real light, drape, the visual weight of a border, whether an embroidery placement looks right on the finished item rather than on a drawing. Those are the details a buyer is judged on by their own guests.

It also resolves the things a factory cannot guess: whether your pocket depth clears your actual mattress build-up, whether your laundry’s chemistry moves the color, whether the size chart fits your staff. Requesting a sample for anything new is cheap relative to discovering these on a container.

The time cost, and where it actually sits

A sample cycle is technical review, making, shipping to you, your assessment, and written approval. Standard samples take 7–14 days after specification or artwork approval; complex custom samples take up to 21 days. International courier transit and the buyer’s internal approval sit outside that making period.

For repeat items nothing is sampled again. The approved reference is on file, technical review is skipped, and the order enters the production schedule directly — which is why the first order’s documentation is worth getting precise.

What written approval protects

Approval in writing fixes the reference for production and for the reorder. It is also the buyer’s protection: once a sample is approved, any proposed change to material, supplier, color, construction or packing is raised with you before production rather than discovered by your customer.

Send your inspection standard, acceptance criteria and any third-party test requirement in the RFQ so applicability can be reviewed before quotation rather than argued after delivery.
